Privacy Policy

Last updated: 26 August 2026 · Applies to scribeclass.com and the Explorer course

This policy explains what information we collect, why, and what we do with it. It is written to be read, not to be survived.

Who we are. Scribe Class is operated by Crown Healthcare Consultants, LLC, 621 Strand Street Unit 2, Santa Monica, CA 90405. You can reach us at info@scribeclass.com.

The short version

What we collect, and why

When an adult applies to the pilot

WhatWhy
Name and email addressTo reply, and to grant access to the course
Role — parent, co-op leader, teacher, or a student of 18 or over applying for themselvesTo understand who the course reaches
City and state, and ZIP if you give one — it is optionalTo know where the course is being used, and which state rules apply
School, co-op or program, and its city — and its ZIP if you give one, which is optionalTo understand which groups the course reaches, and where
Number of students, their ages and grade. A student applying for themselves gives their own age insteadTo check the course suits them, and that it is being used at the level it was written for
The two boxes you tick — consent, and agreeing to give honest feedbackTo record that they were given, and by whom
Why you applied, and how you heard of usOptional. To improve the course and know where interest comes from

City, school and a student's age, taken together, can point to a particular young person. We ask for them because they tell us who the course is reaching, and we treat them accordingly: they are used only to run and improve the pilot, they are never published, never sold, never shared, and never combined with anything else.

We ask for the school and its city because we need to know where the course is being used — a pilot that cannot say which programs it reached is not a pilot. We never publish it, never sell it, and never combine it with anything else.

This is submitted through Formspree, who process it on our behalf and send it to us by email. We keep it for the duration of the pilot and for 1 year afterwards, then delete it.

When a student uses the course

Each unit records active time — time when the tab is visible and the student is actually working. It pauses when they switch away or stop, so a tab left open overnight records nothing.

Specifically, the course keeps:

WhatWhy
Which units and screens were visited, and for how long So the student can see their own progress, and so we can find the places where people get stuck
Which flashcards were studied, how many times each was flipped, and how long was spent on each The cards a student keeps turning over are the ones the course is teaching badly. That is what we most need to know
The date, time of day and day of the week of each session To understand when the course is actually used — after school, at weekends, late at night — so it can be built for how people really study
Answers given and scores To show progress, and to tell whether a question is unclear rather than hard
Which games were played, how many times, for how long, and the best score The games are how most of the practice happens. Knowing which ones get replayed and which get abandoned tells us which are working

⚠️ Together this is a detailed record of how one person studies. We would rather say so plainly than describe it as "usage data." It shows what someone worked on, in what order, at what hour, and where they slowed down.

All of it stays on the student's own device. It is held in the browser so that progress survives closing the tab. It is never sent to us. We do not receive it, we cannot see it, and we have no way to retrieve it — not even if we wanted to.

⚠️ Because it lives in the browser, clearing site data erases it, and it does not follow a student to another device or another browser.

If you want to send it to us

There is a page in the course called Your record. It shows everything held on the device and offers two choices:

Nothing is sent automatically, and nothing is sent by us. The page produces a file or a block of text. You read it first, then you decide whether to email it. If you send nothing, the course works exactly the same and nobody follows up.

Two exceptions, both of which a student chooses:

What we do not collect

Students under 18

This course is written for students aged 14 to 18, and it is designed so that a minor never has to give us personal information.

If you believe a student has given us personal information and you are their parent or guardian, write to info@scribeclass.com and we will delete it.

How long we keep things

Your rights

You can ask us to show you what we hold about you, correct it, or delete it. Write to info@scribeclass.com and we will respond within 45 days.

Depending on where you live you may have further rights — including, in California, rights under the California Consumer Privacy Act to know what is collected, to delete it, and not to be discriminated against for asking. We do not sell or share personal information for advertising, and never have.

Security

The site is served over HTTPS. Access to the course is controlled by one-time codes sent to an approved email address — there are no passwords to be stolen. Applications are held in Formspree's systems and in our email.

No system is perfect. If something goes wrong that affects you, we will tell you.

Schools and co-ops

If a school or umbrella organization enrolls students, that organization may have its own obligations — including, in the United States, under the Family Educational Rights and Privacy Act. We act on their instructions in respect of their students and will sign a data agreement where one is required.

Changes

If we change this policy we will update the date at the top and, where the change is significant, tell anyone taking part directly.
